What this policy covers

This policy explains how LunaRec handles personal information on our website and in the LunaRec recording, transcription, and conversation-intelligence service. It covers information from visitors, early-access members, customers, and people who contact us for support.

A customer may record information about other people. In that situation, the customer decides why the information is recorded and is responsible for providing notices and obtaining permission required by applicable law. LunaRec processes that content only to provide the service requested by the customer.

Information we handle

• Account information: name, email address, organization, login details, and preferences.
• Customer Content: recordings, transcripts, notes, summaries, speaker labels, and action items you create or upload.
• Service information: device and browser type, approximate location derived from IP address, feature activity, diagnostics, and security logs.
• Communications: messages, feedback, and support requests you send to us.
• Billing information: subscription and transaction records. Payment card details are handled by our payment provider rather than stored by LunaRec.

How we use information

• Provide recording, transcription, search, summarization, and related features.
• Authenticate accounts, sync content, respond to support, and process subscriptions.
• Protect the service, investigate abuse, diagnose failures, and maintain reliability.
• Meet legal obligations and enforce agreements.
• Improve LunaRec using service telemetry and aggregated or de-identified information.

Your content and AI processing

As between you and LunaRec, you retain your ownership rights in Customer Content. You give LunaRec a limited permission to host, copy, transmit, transcribe, analyze, organize, and display that content only as needed to operate, secure, and support the service you request. This permission ends when the content is deleted from active systems, subject to limited backup, legal, and security retention.

LunaRec does not sell Customer Content. We do not use private recordings, transcripts, or generated outputs to train general-purpose AI models unless you make a separate, clear choice to participate in such a program. Declining that choice will not remove core service functionality.

When information is shared

We disclose information only in the following limited circumstances:

• To infrastructure, transcription, AI-processing, authentication, analytics, support, and payment providers that help operate LunaRec under contractual restrictions.
• To people or integrations you direct us to share with.
• When reasonably necessary to comply with law, protect rights or safety, investigate fraud, or respond to a valid legal process.
• As part of a financing, merger, acquisition, or sale, with appropriate confidentiality and notice where required.

We do not sell personal information or share it for cross-context behavioral advertising.

Retention and deletion

We keep personal information only for as long as needed to provide the service, satisfy the purpose described here, resolve disputes, maintain security, and meet legal obligations. Customers can delete individual content or request account deletion. Residual copies may remain temporarily in protected backups before routine deletion. Aggregated or de-identified information that can no longer reasonably identify a person may be kept.

Security

We use administrative, technical, and organizational safeguards designed for the sensitivity of the information we handle, including access controls and protection of data in transit. No service can guarantee absolute security. If an incident creates a legal duty to notify affected people, we will provide notice as required by applicable law.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to certain uses of personal information, and to withdraw consent. You may also have the right to appeal a privacy decision or contact your local data-protection authority. We will not discriminate against you for exercising a privacy right.

To make a request, email privacy@lunarec.app. We may need to verify your identity and authority before completing it. If LunaRec processes content for an organization, that organization may need to handle the request as the data controller.

International use and age limits

LunaRec may use service providers in countries different from yours. Where required, we use recognized safeguards for international transfers. The service is not directed to children under 13, and we do not knowingly collect their personal information. Business customers must not use LunaRec to record minors without the permissions and protections required by law.

Updates and contact

We may update this policy as LunaRec evolves. We will post the revised version here and provide additional notice when a change materially affects your privacy rights or how we use personal information.
